This Privacy Policy applies to all users of our Services which is provided by PT Shortlyst Labs International (“Shortlyst”, “We”, “Our”, “Us”).

When establishing your account, you review, correct, update, delete or change most of your Personal Data via the account settings. You can also opt out of receiving certain emails and other forms of communications from Shortlyst by notifying us via email at support@shortlyst.ai. Please note that this only applies to our marketing emails as you cannot opt out of receiving all emails from us. The type of information we collect depend on the circumstances and the services you are using. Generally speaking, we will collect information relating to you and/or your use of services in the following ways:

a. Personal Information We Collect Directly From You

In ensuring high quality and secured services, we collect information that personally identifies you, such as your name, address, phone number, mobile phone number, email address, payment information, company name and other personally identifiable information that you choose to provide us with or that you choose to include in your account (“Personal Data”). In order to gain access to our full range of services, you may be asked to provide us with Personal Data when you register with the Site or use any of our Services.

During your session with our Services, you may input or upload information of prospective employees, provide us with your credentials on third-party sites or services in order to synchronize communication with prospective employees onto our platform, and may provide us with other information (collectively termed as “Customer Data”). Customer Data will be treated with confidentiality, it will be used to deliver quality Services and will not be shared with any third parties.

e. Personal Information We Collect from Third Parties

We may collect Personal Information about you from third parties. For example, we may obtain approved lists compiled by third parties of attendees of our services-related trade shows or sponsored events. These lists may include the following Personal Information about you, among others, name, email address, employer and area of work.

Gmail Integration
If you use the Gmail integration with Shortlyst, you will be asked to give us access to information from your Gmail or Google account. By using the Gmail integration with Our Service, you will grant Shortlyst access to information associated with your account, including contacts, emails, distribution lists, and subject lines from your email. In addition, Our Service will be able to read, modify, create, delete, and send emails from your connected Gmail account. The Service will store replies, outgoing mail, email headers, subject line, distribution lists, aliases, time sent, and email bodies. Your email may contain sensitive information, such as names of your contacts, your private communications, or financial or medical information. You understand that the correspondences you initiate through Our Service will be visible to other team members within your Subscription.

Additional Limits on Use of Your Google User Data
Shortlyst’s use and transfer to any other app of information received from Google APIs will adhere to the 
Google API Services User Data Policy, including the Limited Use requirements.

  1. How We Share Personal Information

a. Personal Information We Collect from Third Parties

We may share Personal Data, Usage Data and Customer Data with parties controlling, controlled by or under common control with PT Shortlyst Labs International. In order to provide you with the Service as you have requested from us, we also may from time to time disclose your Personal Information within the internal functions in our company.

b. Personal Information share to Third Party Service Providers

We may develop partnerships with other businesses whom we deemed to be trustworthy and have privacy policies consistent with ours (“Third-Party Partners”). For example, we rely on payment gateways such as Stripe and Zoho to process payments for our Services. Other Third-Party Partners may support Shortlyst in providing services like data storage, marketing, maintenance etc. Any information shared to Third-Party Partners will be limited to the bare minimum for them to provide their services on our behalf. Each Third-Party Partner will be contractually bound to use sound security measures and practices in accordance to the nature of the information shared. This is done to protect your Personal Data from unauthorized access, use or disclosure. Third-Party Partners are prohibited from using Personal Data for any purpose other than those specified by Shortlyst.

c. Personal Information shared with other parties as required by law or to prevent or investigate illegal activities or activities inconsistent with our policies

Shortlyst operates within the compounds of the local legal system at all times and will cooperate with the government and law enforcement officials to enforce and comply with the law. If we are presented with a legal request (on the grounds of illegal or unethical activities) and believe that it is necessary or appropriate to respond for the sake of protecting safety, property, or rights of our company or of any third party, then we may disclose Personal Data or any other information requested.

  1. Social Features and Advertising

Certain functionalities on our site permit interactions that you initiate between the site and third-party services, such as social networks (“Social Features”). Examples of Social Features include features enabling you to “like” or “share” our content and features that otherwise connect the site to a third-party service (e.g., push or pull information to or from the site). Shortlyst does not sell or rent your personal data to third parties for marketing purposes whatsoever.

Please note that information posted or uploaded to public segments of our Website or Services may be accessed by others. Be careful of the nature of information posted in the public domain as anyone with access to it may potentially use it for any purpose, including sending unsolicited communications.

We value the confidentiality of your Personal Data and have built robust safeguards to protect it. However, there is no feasible way to 100% guarantee the security of any data transmission done online. Therefore, while data protection remains our top priority, Shortlyst cannot and do not guarantee secure transmission of information through our Website or Services.

Our Website and Services may contain links to other sites. However please note that any links to a third party’s site does not imply that we endorse it or that we are affiliated with it. We do not have control over how third party sites are maintained or how their Privacy Policy is set up. Please exercise caution when accessing these sites, as we do not accept any responsibility or liability for their policies or processing of your Personal Information. Please review the privacy policy posted on the third-party website before you submit any Personal Information to such website.

  1. Children’s Privacy 

Shortlyst’s Site and Services are developed for users 16 years of age or older. We do not intentionally collect Personal Data of minors below the age of 16. In the event we detect the collection of data of minors, we will delete such information from our database.

  1. Processing in the Indonesia 

Shortlyst processes and stores Personal Data, Usage Data and Customer Data in Indonesia. If you are located outside of Indonesia, please be aware that your information and communications may be transferred to Indonesia. By using Shortlyst’s Website and Services, you are agreeing to the collection, use, transfer and disclosure of your information and communication under the applicable laws in Indonesia.

  1. Overseas Servers 

We may process Personal Information on servers, including those of service providers, which are located in countries all over the world and in the Cloud. This means Shortlyst may process your Personal Information outside Indonesia. The data protection laws and regulations applicable to your Personal Information transferred to other locations may be different from the laws in Indonesia.

Please be aware that we will process your requests as quickly as we possibly can. We appreciate your patience and understanding in giving us time to carry out your requests.

“Do Not Track” Signals. Your browser settings may allow you to transmit a “Do Not Track” signal when you visit various websites. Right to Opt-Out of Our Talent Index and Search Service. Our Talent Index and Search Service help employers and recruiters find candidates to fill their employment needs. In order to do this, our deep search continuously crawls the web and extracts names, approximate locations, employment history and job-skills related information, and other recruiting-related information from general public web documents, personal profiles, public records, blogs, news articles, scientific publications and many other types of pages. We process and index this data so it can be searched by our users for employment recruiting purposes. We aim to provide the most comprehensive results when our users search, source, evaluate and manage talent to fill their employment needs. Our Talent Index and Search Service does not collect user information through our Services, and is not governed by this Privacy Policy.

However, we recognize that you may not wish to appear in our talent index or search service, and we will honor your request to opt-out. To opt-out please send your name and email address to support@shortlyst.ai and we will remove your information from our system, or follow-up with you if we need further information in order to honor your request.

Please note, we may need to retain certain data about you in order to ensure that we can continue to honor your request to opt out. We will maintain the minimum amount of information necessary for this purpose, and will not share this information with employers, recruiters or other users of our services.

Interest-Based Advertising. You can generally opt-out of receiving targeted ads from third-party advertisers and ad networks who are members of the Network Advertising Initiative (NAI) by visiting http://optout.networkadvertising.org. You may also opt-out of receiving targeted advertisements from other companies that perform interest-based advertising services via the Digital Advertising Alliance (DAA) site at http://optout.aboutads.info/. Please note that when using the ad industry opt-out tools described above you may need to execute opt-outs for each browser or device that you use. Opting out of interest-based advertising does not mean you will no longer see advertising online but it does mean that the companies from which you opt-out will no longer show ads that have been tailored to your interests.

If you do not have an account with us, we may request additional information about you so that we can verify your identity. We will only use the Personal Information you provide to verify your identity and to process your request, unless you initially provided the information for another purpose.

You may use an authorized agent to submit a request to know or a request to delete. When we verify your agent’s request, we may verify both your and your agent’s identity and request a signed document from you that authorizes your agent to make the request on your behalf. To protect your Personal Information, we reserve the right to deny a request from an agent that does not submit proof that they have been authorized by you to act on your behalf. You may also make a verifiable consumer request on behalf of your minor child.
